Below are the main talking points of the June event Committee meeting. This week we got to address some major concerns about the last event as well as talked about some business procedure changes for the future. - Trailer stuff
- How are we going to move it consistently?
- Between Calvin Cooper and Bryan Eplett, we have 2 possible tow vehicles until the bus returns
- Where does it live
- We have confirmed that the trailer can live at Gateway motorsports for regular events that close before end of business day for Gateway.
- If gateway is closed a storage location will be chosen between Bobby Klich’s house or Calvin Cooper’s house
- Stickers/decals for it
- For the time being, we have decided against putting decals on the trailer to discourage possible theft, but more discussions may come if there are issues with identifying it at gateway.
- Equipment we can load into the trailer
- Leave 50 cones in the storage unit
- Leave 3 tents at least but take the rest
- Fire extinguishers
- Take 5 or 6 and leave the rest for Club Racing
- Water
- take half of the water in the unit
- Coolers
- Red coolers are ours
- blue ones on wheels belong to PDX
- Signs
- Take the RallyX related signs but leave the rest
- Weights? (will have to ask if pdx needs)
- The weights are for calibrating the scales so they are to be left alone
- Paperwork maybe
- Look into keeping copies of all the paperwork in the trailer
- Bus updates
- The bus will not be available for the next event because it is currently waiting for parts
- Jon Fugina has offered to be a colling station when available if any competitors or spectators need to escape from the heat in the Bus’s absence

- Registration/payment smoother despite delays
- 0 Timing issues
- Helmet tracking was better (partially because less were needed)
- Less course repairs needed

- Lots of interest for future night events

- equipment/supplies arrived late
- Make sure mission critical equipment is with Juan or bobby
- Timing and paperwork will be exchanged the day before either at event set up or sometime later in the day
- Confusion on the night course
- Shorten/simplify future night courses
- We will also look into reflective tape/stickers for all of our cones for future night events
- Complaints
- Price listing discrepancy
- All literature has since been double checked and future communications can encourage errors to be called out
- Process for handling pricing issues/confusion
- SCCA policies on pricing discrepancies is to give mis listed price
- In the future we will try to keep all price listing to 1 or 2 locations so that there is no room for confusion/typos

- Dnf questions
- Got 2 or 3 people asking about DNFs
- New system for logging DNFs so questions can be answered
- We will now require written notes as to the cause of a DNF
- Radio issues
- See if we can identify specific problem radios
- Newer and stronger radios have been purchased and we will be replacing all of our old radios so that should resolve the issues

- Juan Johnson will go through the SCCA Drivers meeting guide to make a more too the book meeting
- Separate drivers meeting for novices before the main meeting
- What groups were running the second half of the day
- Should probably decide ahead of time for next event
- Rule book reading
- We should all brush up on it
- Need to refer to it at events more often
- Software updates
- Can now import registration straight from motorsportsreg so can be done the morning before the event in 5 minutes
- Train someone as back up timing person
- Erin Blair and Bill Headrick will be trained to use the timing hardware for that Juan Johnson can spend more time focusing on running the event

- Discount is in place but things have not been fully finalized yet

- Will probably need to focus on keeping people cool for next 2 events

- Jon Fugina, Bobby Klich, and others offered their car up for cool down if need be

- Next Committee Meeting will be hosted at (next meeting will determine if that is the permanent location)
